01Who we are
DreamWeek San Antonio is presented by DreamGlobal Inc., a 501(c)(3) nonprofit organization, and managed by DreamVoice LLC. In this policy, "we", "us" and "DreamWeek San Antonio" mean DreamGlobal Inc.
This policy covers the website at dreamweek.org and the accounts, event submissions, RSVPs and ticket purchases made through it. It does not cover the websites of our hosting partners, sponsors or venues, which have their own policies.
The rules for using the site are set out separately in our Terms of Use. Hosting partners are additionally bound by the Event Hosting Terms.
02What we collect
When you create an account
- Your name and email address.
- A password, which is stored encrypted. Nobody at DreamWeek San Antonio can read it.
- Whether your account is an attendee account or a hosting partner account.
- Anything else you choose to add to your profile, including demographic information.
The demographic fields on your profile are optional, every one of them. You can leave them blank, fill in some and not others, or clear them later, and your account works exactly the same either way. Nothing on this site is withheld from you for leaving them empty. We ask because DreamWeek San Antonio reports to funders on who the Summit reaches, and that reporting is counted, never named. Demographic information is used in aggregate. It is not shown to hosting partners, it is not attached to your name in anything we publish or submit, and it is not used to target advertising.
When you RSVP to or buy a ticket for an event
- Which event, and when you registered.
- The size of your party, if the event asks for it.
- For paid tickets, your billing name, billing address and the order record.
When you bookmark events or set up alerts
- The events you have saved.
- The categories and events you have asked to hear about.
When you submit an event as a hosting partner
- Your organization's name, type and contact details.
- Everything you enter about the event: title, category, format, date and time, venue, description, images, ticketing or RSVP settings.
- Planning information you provide with the submission, including estimated event cost and expected attendance.
- Your submission fee payment record.
When you fill in one of our other forms
The contact form, sponsorship and advertising inquiries, volunteer sign-ups, talent submissions, speaker nominations and in-kind donation offers each collect the contact details and the information that form asks for.
Automatically, when you visit
- Your IP address, browser and device type.
- Pages you viewed and when.
- Cookies, described in Section 7.
We do not collect card numbers. Card details are entered directly into our payment processor and never reach our servers. See Section 5.
03Why we collect it
- Running the event you registered for. A host has to know how many people are coming to set out chairs, order food and book the right room.
- Reaching you about that event. Venues move and weather happens. Registration is the only way to tell the people affected.
- Your tickets and receipts. So you can find what you booked, and prove you paid for it.
- Alerts and bookmarks. Because you asked for them.
- Attendance reporting. DreamWeek San Antonio runs on grants and sponsorship, and both are awarded on evidence. We report attendance by event, by category and by day.
- Running the Summit itself. Scheduling, venue capacity, printing the Schedule of Events and planning the next year.
Reporting is aggregate. When we report attendance to a funder, a sponsor or the public, we report counts and patterns. We do not hand over lists of who attended what.
04What hosting partners see
DreamWeek San Antonio events are hosted by independent organizations. When you RSVP to or buy a ticket for an event, that host receives:
- Your name.
- Your email address.
- Your party size, if the event collects it.
- Whether you RSVPed or bought a ticket, and when.
They receive it for their own event only. A hosting partner does not see your bookmarks, your alerts, your account settings, or anything you have registered for with anybody else.
Under the Event Hosting Terms, hosting partners may use attendee details to run their event and to contact attendees about it. They are not permitted to add you to unrelated marketing lists or to pass your details on. If a partner contacts you about something other than the event you registered for, tell us and we will take it up with them.
05Payments and event registrations
Payments on dreamweek.org are processed by Stripe. When you pay for a ticket or a hosting partner submission fee, your card details go directly to Stripe. They are not stored on our servers and our staff never sees them.
We keep the order record: what was bought, for how much, when, and the billing name and address. We also keep the last four digits and card type that Stripe returns, so you and we can identify a payment.
Some hosting partners connect their own Stripe account to receive ticket revenue directly. Where that is the case, Stripe shares the transaction with that partner as the merchant of record for their event. Stripe's handling of your data is governed by Stripe's privacy policy.
Registration handled somewhere other than dreamweek.org
Some hosting partners take registrations on their own site, or through a third-party ticketing or sign-up service, and their event listing on dreamweek.org links out to it. Where that happens, you leave this site and you are dealing with them.
Everything in this policy applies to what we collect. It does not apply to what somebody else's site collects. A partner using an outside service decides what that service asks you for and what is done with your answers, and that is governed by their policy and that service's policy, not ours. We do not control it, we do not receive a copy of it, and we are not responsible for it.
If you are not sure where you are, check the address bar. Registration we handle happens on dreamweek.org.
06Who else we share with
We do not sell your personal information, and we do not rent or trade mailing lists.
We share data with service providers who do specific jobs for us, and only what each needs:
- Stripe, to process payments.
- Our web host, which stores the site and its database.
- Mailchimp, which sends our newsletters, alerts and announcements. Your name and email address go there when you subscribe or turn alerts on.
- Our email delivery provider, for transactional email: confirmations, receipts, password resets and notice that an event has changed.
- monday.com, our relationship management system. We track sponsorship, advertising and hosting partner relationships there, and we compile guest lists there for the events DreamWeek San Antonio presents itself, such as the Opening Ceremony, the Awards Luncheon and the DreamBall. If you register for one of those, your name and contact details are part of that list.
- Analytics, as described in Section 7.
We also share information where the law requires it, where we need to protect somebody's safety, or in connection with a merger, acquisition or transfer of our operations, in which case we would tell you first.
07Cookies and analytics
Cookies are small files a site stores in your browser. We use them for three things:
- Keeping you signed in. Without these the site cannot tell one page view from the next, and your account would not work.
- Remembering your cart while you are buying a ticket.
- Understanding how the site is used, so we know which parts of the schedule people struggle to find.
You can block or delete cookies in your browser settings. If you block the first two, you will not be able to sign in or buy a ticket.
Pages with embedded video, maps or social posts may set cookies from those services. We do not control those.
08Email we send you
There are two kinds, and they are separate:
- Transactional email, which you cannot opt out of while you hold a registration: your RSVP and ticket confirmations, receipts, password resets, and notice that an event you registered for has changed. These exist because you asked for something and we are answering.
- Alerts and the newsletter, which you choose and can turn off at any time, in your account settings or with the unsubscribe link at the bottom of any one of them.
09Your choices
You can, at any time:
- See and correct what is in your account, by signing in at dreamweek.org/account.
- Turn alerts off without closing your account.
- Unsubscribe from the newsletter.
- Cancel an RSVP, which removes you from that host's list.
- Ask for a copy of the personal information we hold about you.
- Ask us to delete your account and the personal information attached to it.
For the last two, email hello@dreamvoice.org from the address on your account. We respond within 30 days.
Two limits worth stating plainly. We may need to keep records of completed financial transactions for accounting and tax purposes even after you close your account. And deleting your account does not pull your name back out of a hosting partner's own records for an event you already attended, because that copy is theirs. We will tell you who to contact.
10How long we keep things
- Account information, for as long as your account is open, and then removed when you ask us to close it.
- RSVP and ticket records, for the Summit they belong to plus seven years, so that attendance can be reported to funders and auditors across grant cycles.
- Payment and order records, for seven years, as financial records.
- Event submissions, indefinitely, as part of the public record of the Summit. Published event listings stay on the site as an archive.
- Inquiry and form submissions, for three years from your last contact with us.
- Server logs, for a short period, typically weeks, as kept by our host.
11Security
The site runs over HTTPS. Passwords are stored encrypted rather than as text. Card details never reach us. Access to attendee data in the administrative backend is limited to staff who need it, and hosting partners can only reach the registrations for their own events.
No website is perfectly secure, and we will not claim otherwise. If a breach affects your personal information, we will tell you and the relevant authorities as the law requires.
12Children
Many DreamWeek San Antonio events are built for young people, and children are welcome at them.
Accounts on this site are a different matter. They are intended for people aged 13 and over, and we do not knowingly collect personal information from children under 13. A parent or guardian should create the account and register the family. If you believe a child under 13 has given us personal information, email hello@dreamvoice.org and we will delete it.
13Changes to this policy
When this policy changes we update the effective date at the top. If a change materially affects how we use information we already hold about you, we will email account holders rather than rely on you noticing a date.
